Planning advice runs on documents and dates, and none of the list below has to be complete to make first contact — if all you have is a site notice and a worry, send a photograph of it and phone. The planning reference number if one exists — it unlocks the entire public file. The document that triggered you writing: the decision, the warning letter or enforcement notice, the CPO notice, the refusal — every page. Your dates: when the application was lodged, when the decision issued, when the notice was received — because the windows run from those dates and the first job is establishing how much of one remains. Photographs where works, structures or neighbouring development are involved — dated if possible. And the story in ten lines: the site, what’s proposed or built, who’s involved, what you want to achieve.
